Submitting a Presentation for On-Site Use

Naming Your Files Correctly
Please remember that there are many speakers at the Endocrine Society's Annual Meeting. If all presenters label their PowerPoint files 2008ENDO, chances are that some may be mistaken with others of the same name. To aid in the cataloguing and retrieving of your presentation, PowerPoint files must be saved with the following way (separated by underscores):

Files names must include the following separated by underscores:
o Presentation Date - MMDDYY
o Speakers Last Name - Last Name
o Speakers First Name - Last Name
o Course or Session Number

Format: Date_LastName_FirstName_CourseNumber.ppt
Example: 061608_Smith_Scott_101.ppt

4 Ways to Submit Presentations
(Suggested file sizes below are based on total presentation size plus supporting files such as movies. If you have multiple files and stand alone they are within the suggested file sizes you may email or upload them one at a time)

On-Line Upload (Suggested for files 15 Mb - 30 Mb on a broadband connection)
Please Note:
- Credentials to log into the site will be sent via email in May when the site opens
- Use the following link by Friday, June 6th to upload: CLICK HERE

Email (Suggested for files 15 Mb and under on a broadband connection)
E-Mail the presentation and all related files by Friday, June 6th to: endo@avmg.com

3 Mail (Suggested for files 30 Mb and larger - See CD Hints Below)
Mail a CD or USB Memory Stick to (Packages must be received by Friday, June 6th):

Take your media to the appropriate on-site speaker ready room at least 24hrs in advance of the session where you will be speaking

Hints and Info
• It is helpful to store all files associated with one presentation in the same folder during the creation   process
• When transferring your presentation to CD-Rom or USB Memory Stick make sure you include all   supporting files such as videos and images
• When making a CD be sure to FINALIZE the session, if the recording session is not finalized the CD   may not be accessible from all other computers
• To ensure the success of your presentation remember to make a backup copy of all files and   transport that media in a separate piece of carry-on luggage
• All media submitted will be destroyed post show unless prior arrangements are made
• NO 35MM SLIDES WILL BE PERMITTED

Speaker Ready Room Check-In
• Speaker Ready Room Check-In is MANDATORY
• All presenters must check-in with the Speaker Ready Room at least 24 HOURS PRIOR to the start of   the   session session where they will be speaking
• Check-in is required whether you have pre-submitted your presentation or not
