For security reasons we do not allow online access to speakers after the have uploaded files. If the speaker is unsure of the version they have submitted they can verify this at the time of check in at the speaker ready room.
The version of your presentation you submit is not expected to be the final version. The need to change or update your presentation is expected, thus we recommend you arrive prior to your presentation in order to update it or make changes as needed using the Speaker Ready Room.
Once on-site our Speaker Ready system
is protected by a private network. This private network has no internet access
and is completely closed off to the outside world. The remote computers in the
meeting rooms do not have access back to the server, only the server to the
rooms. The files are placed on the meeting room computers over the private network.
When the sessions are finished the files are deleted from the computers. Once
the meeting is over the computers are re-loaded with an image. This process
deletes the entire hard drive and restores the PC to its original state.
The Importance of Pre-submission
Pre-submission allows the
Speaker Concierge to review
the presentations ahead of time and contact speakers who have issues such as
MAC to Windows conversions, missing video clips, or images, video or images
in the wrong format, timing and animation issues, external links, etc. If faculty
do not pre-submit and simply brings their presentation with them, the Speaker
Concierge may not have time
to correct some of the problems that may have been corrected in advance of the
meeting.
